What’s in this template
- Task, hours, rate and amount columns
- A project field
- Tax and discount, if you need them
- Amount paid, for a deposit you already received
- Notes for payment details and late-payment terms
How to fill it in
- Pick a format. Download the Word or Excel file or the printable PDF, make your own copy in Google Docs or Google Sheets, or fill the template in online and download the finished PDF.
- Add yourself and the client. Use your name or business name, your email, and the client's company name and address.
- List tasks with hours and rate. One line per task or deliverable; for a fixed price, put 1 in the hours column and the price as the rate.
- Subtract the deposit and send. Enter any deposit under Amount paid, add your payment details and terms, and send the invoice when the work is delivered.
When to use it
Freelance designers, writers, developers, translators and photographers use this layout because it shows the client exactly what they are paying for: tasks and hours instead of one round number. It works for a fixed project fee too.
Tips
- Invoice on delivery, not at the end of the month. The sooner you send, the sooner the payment terms start.
- Take a deposit on big projects and show it on the final invoice under Amount paid.
- Agree late fees up front and repeat them in the notes. Our guides on freelancer invoices and setting your rates go further.
Frequently asked questions
Do freelancers need to charge sales tax or VAT?
It depends on where you and your client are and what you sell. In the US most services are not subject to sales tax; in the UK and EU you charge VAT once you are registered. If you charge tax, show the rate and your tax number on the invoice.
Should I bill hourly or per project?
Either works on this template. Hourly shows the effort; a project fee is simpler for the client. Many freelancers quote per project and list the main tasks so the client sees what is included.
