How to fill it in

  1. Pick a format. Download the Word or Excel file or the printable PDF, make your own copy in Google Docs or Google Sheets, or fill the template in online and download the finished PDF.
  2. Add your business and the customer. Fill in your details and the customer's, and the service address if it differs from their billing address.
  3. Add a line per service. Date each visit, describe the service, and put labor and parts on separate lines so the customer sees both.
  4. Add tax and terms, then send. Add the tax rate, write your warranty and how to pay in the notes, and send the invoice.

Use this template when you bill for work done at a place and on a date: appliance repair, HVAC visits, IT support calls, pest control, pool service. The date column lets one invoice cover several visits, and the service address answers the first question a landlord or office manager will ask.

Tips

  • Separate labor from parts. Customers question a single large number; they rarely question an itemized one.
  • Charge the call-out fee as its own line. It shows that the visit itself has a price.
