What’s in this template
- Job site and license number fields
- Lines for labor, materials and equipment
- Sales tax and discount
- Amount paid for the deposit, and balance due
- Notes for your warranty and payment details
How to fill it in
- Pick a format. Download the Word or Excel file or the printable PDF, make your own copy in Google Docs or Google Sheets, or fill the template in online and download the finished PDF.
- Add the job. Fill in your business, the client, the job site address and your contractor license number where your state requires it.
- Itemize labor and materials. Put labor as hours times your rate (or a fixed price per stage), and each material on its own line with quantity and unit price.
- Subtract the deposit and send. Enter the deposit under Amount paid, add change orders as their own lines, write your warranty in the notes and send.
When to use it
Carpenters, electricians, painters, roofers, remodelers and handymen use this layout for jobs from a single repair to a kitchen remodel. Separate labor and material lines answer the client’s first question (“what did the materials cost?”) and help at tax time.
For a large project billed in stages, read our construction invoice guide; for plumbing calls there is a plumbing template.
Tips
- Bill change orders as separate lines, with the date the client agreed to them.
- Show the deposit. It proves the client’s payment was received and makes the balance due clear.
- Check the sales tax rules for your state: some tax materials but not labor. More in how to write a contractor invoice.
Frequently asked questions
Should I charge tax on labor?
It depends on your state or country. Many US states tax materials but not labor on repairs, while others tax both. If only the materials are taxable, work out the tax on the materials and add it as its own line, or ask your accountant how to show it.
How do I invoice a deposit?
Invoice the deposit before work starts. On the final invoice, list all the work and enter the deposit under Amount paid; the balance due is what is left.
