How to fill it in
- Pick a format. Download the Word or Excel file or the printable PDF, make your own copy in Google Docs or Google Sheets, or fill the template in online and download the finished PDF.
- Add the buyer and their PO number. Fill in your business and the buyer, the PO number from their order and the date you shipped.
- List the items. One line per product with its SKU, quantity and unit price; add shipping as its own line.
- Add sales tax and send. Add the sales tax rate where it applies, note your return policy and send the invoice with or after the shipment.
When to use it
For wholesale orders, product sales to shops and cafés, and B2B supply. The SKU column lets the buyer match your invoice to their order and to the boxes that arrived.
Tips
- Quote the PO number. Buyers match three documents (order, delivery, invoice) before paying.
- Bill shipping separately so the buyer sees the product prices they agreed.

Frequently asked questions
What is the difference between a sales invoice and a receipt?
A sales invoice asks the buyer to pay for goods, usually with terms such as Net 30. A receipt confirms that payment was received.
Do I need a SKU column?
Not always, but it helps when you sell many similar products. Leave it empty if you do not use SKUs.
