What’s in this template

  • Property and rental period fields
  • Lines for rent, parking, utilities and fees
  • A due date you set (often the 1st)
  • Amount paid and balance due
  • Notes for late fees and how tenants can pay

How to fill it in

  1. Pick a format. Download the Word or Excel file or the printable PDF, make your own copy in Google Docs or Google Sheets, or fill the template in online and download the finished PDF.
  2. Add the tenant and the property. Fill in your details, the tenant's name and the unit, and the rental period the invoice covers.
  3. List rent and charges. Put the monthly rent, then parking, storage or utilities you pass on, each on its own line.
  4. Set the due date and send. Set the due date from the lease, repeat the late fee in the notes, and send the invoice a week or two before rent is due.

When to use it

Leases usually set the rent, so a rent invoice is less about the amount and more about a clear record: what period it covers, what was charged on top of rent and when it is due. It also gives tenants who pay through their business a document their accountant accepts.

Tips

  • Send it on the same day every month, a week or two before the due date.
  • Itemize pass-through utilities with the period they cover.
  • Quote the late fee exactly as in the lease; many US states cap late fees and grace periods.

Frequently asked questions

Do I need to send rent invoices?

Not always: the lease already obliges the tenant to pay. Invoices help when charges change from month to month (utilities, parking), when a tenant needs one for their records, or when you rent to businesses.

Is rent subject to tax?

Residential rent is usually exempt from sales tax and VAT; commercial rent may be taxable in some places. Leave the tax line at 0 unless you know it applies.
