Rental and Leasing Invoice Templates

Besides the templates above, this page has two more free files. The Excel invoice includes a line for a finance charge on an overdue balance (1.5% in the example; use your own rate only if your agreement and local law allow one) and calculates the total due. The Word invoice has quantity, description, unit price and shipping fields, plus ship-to and "shipped via" details you can use for delivery and pickup. Both are general layouts, so rename the lines to fit what you rent out.

What to include on a rental invoice:

• what was rented, with serial numbers, a license plate or VIN, or the property address;
• the rental period, with start and end dates and times, and the rate per hour, day, week or month;
• delivery, pickup, cleaning, fuel or mileage charges on separate lines;
• the security deposit, shown separately from the rental fee, and whether it is refundable;
• charges for damage, late return or late payment only as your rental agreement allows;
• the due date and how to pay.
