When to use it

Give a rent receipt every time rent comes in, and always for cash. Tenants use rent receipts to prove their rental history, claim rent-related tax credits where those exist, and settle disputes about late payments; for you, they are the record that matches each payment to a period.

To ask for rent before it is paid, use the rent invoice template.

Tips

  • Write the rental period, not just the month the money came in; late and early payments then stay clear.
  • List late fees on their own line, so the receipt shows what was rent and what was a fee.
  • Keep the copies with the lease for as long as you keep the tenancy records.

Frequently asked questions

Does a landlord have to give a rent receipt?

It depends on where you are. Several US states, New York among them, require a receipt for rent paid in cash or by money order, and some require one whenever the tenant asks. A receipt for every payment is the safe habit.

What should a rent receipt include?

The landlord's and tenant's names, the property address, the period the rent covers, the amount, the date and method of payment, and the signature of the person who received it.

Can I give one receipt for several months?

Yes, if the tenant paid several months at once: put one line per month, or one line with the full period in the Rental period field.
