General Information
What is Invoxa, and how does it work?
Invoxa is an online invoice maker for freelancers and small businesses. You create invoices, estimates and purchase orders in the web app at app.invoxa.com or in the iPhone app, add your logo, items and taxes, and send them to clients as a link or PDF. Clients open the document in their browser and, if you connected Stripe, pay by card, Apple Pay or Google Pay; the invoice is then marked paid automatically. Payments that arrive another way you record yourself, and reports show what you have billed and collected.
Is Invoxa suitable for small businesses and freelancers?
Yes. Invoxa is made for freelancers, contractors and small businesses who want professional invoices without full accounting software. Add your logo and business details and you can send your first invoice, estimate or purchase order in minutes. One plan, Invoxa Pro ($5.99 a month or $59.99 a year), covers unlimited documents and clients, with a 3-day free trial. Invoxa has no time tracking, expense tracking or team accounts, so if you need those, use it alongside other tools.
Does Invoxa offer a free trial period?

What are the benefits of using Invoxa for invoicing?
You make a professional invoice in minutes in a browser or on your iPhone, with your logo, and with taxes, discounts and totals calculated for you. Account Setup and Management
How do I create an account on Invoxa?
Go to app.invoxa.com/signup and sign up with your email and a password, or continue with Apple or Google. A short onboarding asks for your business details, and your 3-day free trial starts. You can also begin in the invoice generator and create the account when you save or send your first invoice, or sign up in the Invoxa app on iPhone.
Can I use Invoxa on my mobile device?
Yes. The web app at app.invoxa.com works in mobile browsers and has a layout for phones, so you can create, send and track invoices from any phone. On iPhone you can also use the Invoxa app. An Android app is in development; on Android, use the web app in your browser.
Is there a mobile app for Invoxa?
Yes, for iPhone: Invoice Maker Invoxa on the App Store. It creates and sends invoices, estimates and purchase orders and uses the same account as the web app. An Android app is in development; on Android, use the web app at app.invoxa.com in your browser.
Can I upgrade or downgrade my Invoxa plan at any time?
Invoxa has one plan, Invoxa Pro, billed monthly ($5.99) or yearly ($59.99). If you subscribed on the web, switch between monthly and yearly billing or cancel in Settings > Manage subscription; Stripe prorates the difference when you switch. If you subscribed in the iPhone app, change or cancel it in your Apple ID subscription settings.
How do I add or manage clients in my Invoxa account?
Open Clients and add a client with their name, email, phone, billing and shipping addresses and notes; you can also add one while you create a document. Select a client in the list to edit their details and see their invoices, estimates and purchase orders and what they still owe.
Invoicing Features
Can I customize invoice templates with my company logo and branding?
Yes. In Settings > Document design, upload your logo, pick one of 8 templates and set your brand color; invoices, estimates and purchase orders all use them. In the document settings you can also rename labels, add custom fields, choose which columns to show, and set a default comment and terms and conditions.
How do I create and send an invoice using Invoxa?
Create a new invoice, pick a client or add one, and add items with quantity and rate. Apply taxes, a discount or a deposit if you need them, and preview the result. Then send it: Invoxa emails your client a link to the invoice, or you can download a PDF, print it or copy the link. You can try it without an account in the invoice generator.
Does Invoxa offer invoice templates?
Yes, two kinds. In the app you choose one of 8 designs (Modern, Refined, Essential, Professional, Clean, Minimal, Bold and Structured) and add your logo and brand color; invoices, estimates and purchase orders share the design. On this site you can also download free Word and Excel templates for 18 industries from the invoice templates page.
Can I create recurring invoices for regular clients with Invoxa?
Yes. Open an invoice, switch on Recurring invoice, and choose how often (every week, every 2 weeks, every 3 weeks or every month) and on which weekday. On that schedule Invoxa creates a new draft copy of the invoice for you to check and send. Recurring invoices are not sent to the client automatically.
How does Invoxa help me track outstanding invoices and payments?
Every invoice shows its status (draft, sent, viewed, partially paid or paid) and its balance due, and you see when a client opens it. Card payments through Stripe mark the invoice paid automatically. For bank transfers, cash or checks, use Record a payment (partial payments are fine) or Mark as paid. The payments reports and the customer aging report show what came in and what is still owed. Invoxa does not send automatic payment reminders.
Payments and Taxes
What payment methods can I accept through Invoxa?
Online, clients pay by card, Apple Pay or Google Pay through Stripe, once you connect your Stripe account; the money goes to your Stripe account. Invoxa does not take PayPal, ACH or cryptocurrency payments. For bank transfers, cash or checks, put your bank details in the invoice's payment instructions and record the payment in Invoxa when it arrives.
Can I accept online payments directly through Invoxa?
Yes, once you connect your Stripe account in Settings > Payment. Your invoices then get a pay button: clients pay online by card, Apple Pay or Google Pay through Stripe, the money goes to your Stripe account, and the invoice is marked paid (or partially paid) automatically.
Does Invoxa support multiple currencies for international clients?
Yes. You can invoice in any of 119 currencies. Choose the currency in Settings > Company; your invoices, estimates and purchase orders use it and show its symbol. Invoxa does not convert amounts between currencies or apply exchange rates, and a currency cannot be set per client.
Are Invoxa's invoices compliant with tax regulations?
Invoxa gives you the fields most tax invoices need: your business name, tax number and registration number, the client's details, a unique invoice number, issue and due dates, itemized lines, tax rates and an optional tax summary. Whether an invoice is compliant depends on your country's rules, so check what your tax authority asks for (see our guides for the UK, Australia and Canada) and fill in those fields. Invoxa does not submit invoices to government e-invoicing systems.
How does Invoxa handle tax calculations and VAT in different regions?
You add the rates you charge (for example VAT 20%, GST 10% or a state sales tax) in Settings > Taxes, as exclusive (added on top) or inclusive (already in the price). Apply them to single items or to all items, and Invoxa calculates the tax on each line, the totals and an optional tax summary; the taxes report adds it up for any period. Invoxa does not look up rates by location, validate VAT numbers or apply the EU reverse charge for you: for a reverse-charge sale, leave the tax off and add the required wording to the invoice.
Data and Reporting
Can I back up my invoice data and export it from Invoxa?
Your documents are stored in your Invoxa account, and you can open them from the web app or the iPhone app. To keep your own copy, download any invoice, estimate or purchase order as a PDF, and export your invoice, estimate and purchase order lists as CSV files. The sales reports, the sales journal and the customer aging report download as CSV too. Invoxa has no automatic backup to your own cloud storage.
Can Invoxa help me generate financial reports for tax purposes?
Invoxa's reports help at tax time: a taxes report with the tax you charged, profit and loss, sales by client, date and item, a sales journal, payments by client, date and type, a payments journal and customer aging. Set the period you need; the sales reports, the sales journal and customer aging download as CSV for your accountant or spreadsheet. Invoxa does not prepare or file tax returns.
How do I track unpaid invoices in Invoxa?
Open Invoices and filter by status (sent, viewed, partially paid) and due date; each invoice shows its balance due. The customer aging report groups what clients owe by how long it is overdue and downloads as CSV. You also see when a client opens an invoice. Invoxa does not send automatic reminders, so resend the invoice yourself when a payment is late.
Can I import my existing customer data into Invoxa?
Not from a file yet: Invoxa has no CSV or Excel import. Add clients in Clients, or on the spot while you create an invoice, estimate or purchase order. Each client keeps their contact details, billing and shipping addresses and notes, and you pick them from the list next time.
Integrations and Automation
Can I set up automatic payment reminders for overdue invoices in Invoxa?
Not yet. Invoxa does not send automatic payment reminders. To follow up, filter your invoices by status and due date, or open the customer aging report to see who owes what and for how long, then resend the invoice to the client by email. You can see whether the client has opened it.
How do I set up client portals for my customers in Invoxa?
There is nothing to set up: Invoxa has no client portal with logins. Each invoice, estimate and purchase order you send has its own link. Your client opens it in a browser without an account and can view, print or download it, see attachments and, if you connected Stripe, pay by card, Apple Pay or Google Pay. Estimates can be approved, rejected or signed from the same page.
Security and Compliance
How does Invoxa ensure the security of my financial data?
The web app and the iPhone app connect to Invoxa only over encrypted HTTPS. Passwords are stored as salted hashes, never as plain text, and you can sign in with Apple or Google instead. Client card payments happen on Stripe's payment page, so card numbers never reach Invoxa. We suspend accounts used for fraud; the Security page explains how to check that an invoice email is genuine.
How does Invoxa ensure data privacy and compliance with regulations?
Invoxa uses your account details, your clients and your documents to run the service; the Privacy Policy lists what we collect, why, and who we share it with. Card payments from your clients are processed by Stripe on its own page, so card numbers never reach Invoxa. Depending on where you live, you can ask to access, correct or delete your personal information by writing to support@invoxa.com.
I received an invoice from Invoxa. Is it real?
Invoxa is a tool that businesses use to send their own invoices, so the invoice comes from the business named on it, not from Invoxa. Real Invoxa document links start with https://app.invoxa.com/ and end with /client, and Invoxa never asks for passwords or card details by email.
